Rent collection

Taking the administration out of collecting rent.

Our rent collection service gives landlords a straightforward, professionally managed way of receiving rental payments. We monitor scheduled payments, keep proper records and tell you promptly when something needs your attention.

How it works

01Tenancy set-up

We establish the rental information, payment schedule and your instructions at the start of the tenancy.

02Payment monitoring

We track expected payments and maintain records.

03Payment processing

Payments received through the agreed arrangements are processed and accounted for.

04Landlord reporting

You receive statements showing the relevant transactions and applicable charges.

05Arrears monitoring

Where a payment is not received, we follow the agreed communication and escalation process.

06Ongoing administration

We continue monitoring throughout the tenancy and raise anything material with you.

Landlord statements

Statements can show rental income received in the period, applicable management or collection charges, authorised maintenance costs, other agreed property-related payments and the relevant balance due or held.

Reporting frequency is agreed as part of your package.

Keep your statements and supporting documentation. You will need them for your own accounting and tax records, and we are not your accountant.

Arrears management

When rent is not received when expected, early action establishes quickly whether the issue is administrative, temporary or something more serious.

Payment check

Confirming whether the payment has arrived or is still being processed. A surprising proportion of "missed" rent is a banking delay.

Tenant contact

Communicating with the tenant about the missed payment.

Landlord notification

Keeping you informed where the issue is material or unresolved.

Record keeping

Maintaining records of payments and communications, which matter a great deal if the position ever escalates.

Escalation

Where arrears continue, following the agreed escalation process and recommending appropriate professional advice.

Our approach to arrears

Prompt, so issues surface as early as possible. Professional, so communication stays clear and respectful. Documented, so there is a record. Proportionate, so the response reflects the circumstances. And legally conscious, so any formal step is handled correctly.

Where formal possession proceedings, debt recovery or other legal action may be required, obtain advice from an appropriately qualified professional. Getting the process wrong can invalidate a claim entirely.

Rent collection and tenant relationships

Effective rent collection should not come at the cost of a professional tenant relationship. Clear communication prevents misunderstandings and makes sure tenants understand when rent is due, how to pay, what to do if they cannot, who to contact and what happens if rent remains unpaid.

Where a tenant is in genuine difficulty, consider the circumstances carefully and take advice before formal action.

For portfolios

Consistent payment administration matters more as the number of properties grows. We can provide a structured approach covering payments received across properties, outstanding balances and follow-up, property-level statements, payment schedules and dates, authorised expenses, and consolidated portfolio reporting.
