Communal areas

We coordinate the day-to-day management of shared areas, which may include entrances and reception, corridors, stairwells, lifts, communal lighting, bin and waste areas, external grounds, car parks, communal gardens and access systems.

The precise scope depends on the building and the management agreement.

Lighting, plumbing, communal heating, doors and access systems, roofing and gutters, external areas, lifts, decoration, cleaning, grounds maintenance and waste management. For specialist systems we coordinate appropriately qualified contractors.

Preventative maintenance

Planned inspections, servicing, maintenance schedules, contractor visits, recurring repairs, communal area reviews, external maintenance and planned improvement works.

Where significant works are identified we bring you the information and a recommendation rather than a surprise invoice.

Building inspections

An inspection may consider communal area condition, cleanliness, lighting and visible defects; external grounds, entrances, paths and parking; visible concerns with shared systems and equipment; doors, access points and security; and outstanding or recurring repairs.

Findings are recorded and reported according to the agreed service.

Resident communication

We give residents appropriate channels for reporting communal area problems, maintenance issues, access concerns, building questions, noise or nuisance, and waste issues.

Where an issue falls outside our authority or needs specialist or legal intervention, we say so and identify the right next step rather than leaving it in limbo.

Contractor management

Obtaining quotations, checking documentation, arranging appointments, coordinating access, monitoring works, reviewing completion, managing invoices and maintaining records.

For specialist services, qualifications, certification and insurance must be verified as applicable.

Compliance coordination

Depending on the building and the agreed service, we help administer and monitor fire safety, electrical systems, gas safety, lift servicing, emergency lighting, access systems, water systems, building insurance information, inspections and licensing.

The exact obligations depend on the building's structure, use, occupancy and legal status. We do not replace specialist fire, structural, electrical, gas or other professional advisers where that expertise is required.

Fire safety

Fire safety requires proper assessment, management and ongoing attention. Where included in the agreed service we coordinate inspections, contractors, documentation and remedial actions covering alarms, emergency lighting, fire doors, signage, communal escape routes, fire-fighting equipment, compartmentation issues identified by competent professionals, and fire risk assessment actions.

Fire risk assessments and specialist fire safety advice must be carried out by suitably competent persons. Coordination is not assessment, and we do not hold ourselves out as fire safety assessors.

Cleaning, grounds and specialist services

Communal cleaning, window cleaning, carpet cleaning, grounds maintenance, gardening, bin area management, waste services and seasonal maintenance, at a frequency tailored to the building.

Where a building contains lifts, automated doors, access control, communal heating, pumps, ventilation or water systems, we coordinate servicing and maintain records. Specialist inspection, certification and repair work goes to appropriately qualified providers.

Service charges and building costs

Where included in the management agreement, we assist with administering building-related expenditure and service charges: recording expenditure, contractor invoices, planned maintenance costs, communal services, management charges, budget information and client reporting.

The precise financial responsibilities and service charge arrangements depend on the building's legal structure. Where formal service charge accounting, statutory consultation under section 20 of the Landlord and Tenant Act 1985, or specialist legal advice is required, an appropriately qualified professional must be engaged. Getting consultation wrong can cap what is recoverable from leaseholders.

Planned works

Roof repairs, external decoration, communal refurbishment, window replacement, entrance improvements, access system upgrades and major mechanical works.

For significant works we help coordinate the process, obtain the right information and communicate with the client and contractors. Major works should be properly scoped and, where required, supported by professional surveys, specifications and legal advice.

Emergencies

Serious flooding, significant electrical hazards, fire or smoke, major structural concerns, loss of essential building services and serious security failures.

Where there is an immediate danger to life or safety, residents should contact the emergency services. We follow the emergency procedures established for the building and the authority granted under the management agreement.

For freeholders, investors and developers

We manage residential blocks, freehold investments, apartment buildings, managed residential developments, mixed residential portfolios and privately owned residential buildings.

For developers, we can support the transition from practical completion into ongoing residential management: management setup, contractor coordination, communal area management, resident communications, maintenance arrangements, compliance records and handover information.
